About The Position
The HR Coordinator supports the Human Resources department by handling essential HR functions and maintaining accurate employee records throughout the employee lifecycle. Key responsibilities include recruitment assistance, creating and managing documentation, supporting employee engagement initiatives, and ensuring compliance with company policies. Reporting to the President, the HR Coordinator will use the company HRIS system and SharePoint extensively to maintain digital records. Additionally, this role will involve coordinating, team building, and workplace engagement events that promote a positive and inclusive culture. The HR Coordinator will also support other departmental projects and initiatives as requested. This role combines responsibilities across human resources and executive-level administrative support, while serving as a resource for all employees, addressing inquiries related to various aspects of the employee-employer relationship.
This role is a temporary full-time 1-year contract with a potential of conversion to a permanent role for the right individual having the desired aptitude, skill set and potential. Product Care is growing and opportunities within the organization are expanding. Start date is early April 2025.
Responsibilities:
Service Delivery
- Provides first-level response to routine HR inquiries, providing timely support on policies, benefits, and HR processes. Escalate more complex cases to an appropriate leader in the management team.
- Interprets and communicates HR policies. Maintains a working knowledge of Product Care’s policies, procedures, general HR practices, and applicable legislation.
- Prepare HR-related correspondence, reports, letters, and communications.
Recruitment and Onboarding
- Collaborates with managers and function heads across locations to achieve recruitment goals.
- Manages the full-cycle recruitment process for assigned roles, including posting job advertisements, sourcing candidates, screening resumes, conducting initial phone interviews to ensure alignment with role requirements, coordinating interview logistics, scheduling virtual/in-person interviews, and supporting hiring managers in the selection process.
- Manages communication with candidates through the recruitment cycle.
- Prepares offer letters and organizes new hire documentation.
- Facilitates the onboarding process for new hires.
- Acts as an ambassador of our employer brand, ensuring a positive candidate experience from initial contact through onboarding.
HRIS and Employee Records Management
- Maintains accurate employee records within Human Resource Information Systems (HRIS) and internal systems, to ensure accuracy, accessibility, and compliance with company policies and Employment Standards.
- Assist employees with navigating HRIS system and troubleshooting issues.
- Conducts regular audits of records in HRIS.
Administrative Support and Compliance
- Supports Payroll Supervisor with input and administration of employee data including new hires, terminations, status changes, leaves and changes in position, maintaining confidentiality and discretion.
- Assists with the annual performance review process and probation reviews.
- Conducts exit interviews as part of employee resignation management.
Staff Engagement and Team-Building Initiatives
- Assists the Office Coordinator in coordinating Vancouver staff engagement and team-building events such as holiday parties, all staff events, Town Halls etc.
General HR Support and Special Projects
- Assists with ad-hoc tasks as needed.
- Works on time sensitive HR duties in absence of People & Culture Manager.
- Other responsibilities as assigned by the management from time to time.
What You Bring
The ideal candidate will possess the following skills, experience, and qualifications:
- Bachelor’s degree in human resources or related field.
- Minimum of two to three years of related experience, or the equivalent combination of education and experience.
- Clear English language abilities, both written and verbal.
- Aptitude for attention to detail and a high degree of accuracy.
- Strong interpersonal, verbal, and written communication skills, demonstrating discretion in day-to-day work.
- A positive work attitude, customer-focused, with excellent multitasking, and teamwork abilities.
- Demonstrated analytical and problem-solving skills.
- Strong organizational skills with the ability to handle multiple priorities and work efficiently.
- Knowledgeable in HR principles, processes, and systems.
- Proficient in computer software applications e.g. MS Office, Teams and Outlook.
- Demonstrated experience using and updating Human Resource Information Systems (HRIS) or Applicant Tracking Systems (ATS) is a plus.
- An aptitude for research and data interpretation.
- Takes initiative, strong work ethic, can execute, and gets things done.

- Product Care offers a competitive annual salary ($50,000 – $63,000) based on experience. Compensation offered within this range is based on factors unique to each candidate, including skills, qualifications and experience.
